Privacy notice
Version 2026-08-15 · Issued under the Data Privacy Act of 2012 (RA 10173)
Draft — needs legal review. This is a working template covering the obligations the site is built to satisfy. Have a Philippine lawyer or your Data Protection Officer review it before you accept real customer bookings, and check whether your data volume requires registration with the National Privacy Commission.
Who is responsible for your data
FGIM Car Rental Services CDO is the personal information controller for the data collected through this site. You can reach us about privacy matters at rjcarrentalcdo@gmail.com.
What we collect, and why
When you request a booking we collect your name, email address, and mobile number, together with the dates and vehicle you selected. We need these to identify you, hold the vehicle, confirm the booking, and contact you about it.
At pick-up we also record your driver's licence details and may photograph your licence. This is required to verify you are legally entitled to drive the vehicle, and to comply with our insurance conditions.
We collect only what the rental actually requires. We do not collect payment card details at all — payment is settled in person.
The legal basis we rely on
We process your booking details on the basis of contractual necessity — we cannot provide the rental without them — and on your consent, which you give when you tick the box on the booking form. We record which version of this notice you agreed to, and when.
Licence verification additionally rests on our legal obligation and legitimate interest in confirming that a driver is licensed and insurable.
How long we keep it
Booking records are retained for as long as needed for accounting, tax, and insurance purposes. Images of driver's licences and IDs are deleted automatically once the rental has closed and any damage or violation period has passed — we do not keep licence images indefinitely.
How we protect it
Licence and ID images are stored in private storage that is not publicly reachable, and are served only through short-lived, expiring links. Access is limited to staff who need it to process your rental, and every access to a customer document is logged and attributable to a specific staff member.
Data is transmitted over encrypted connections and access to our database is restricted by row-level security rules, so the public website can only ever read published vehicle listings.
Who we share it with
We do not sell your personal information, and we do not share it for marketing. We share it only where necessary: with our insurer in the event of a claim, with law enforcement or the LTO where legally required, and with the service providers that host this website and database under confidentiality obligations.
Your rights
Under RA 10173 you have the right to:
- be informed about how your data is processed;
- access the personal data we hold about you;
- correct inaccurate or outdated information;
- object to processing, or withdraw consent — though we may then be unable to proceed with a rental;
- request erasure or blocking where the data is incomplete, outdated, false, or unlawfully obtained;
- be indemnified for damages caused by inaccurate or unlawful use;
- lodge a complaint with the National Privacy Commission at privacy.gov.ph.
To exercise any of these, contact FGIM Car Rental Services CDO using the details above. We will respond within the period required by law.
Changes to this notice
If we change how we handle your data we will publish an updated notice with a new version number. Because we record the version you consented to, you can always establish exactly what terms applied to your booking.
